Using Placeholder Tags

Use placeholder tags to insert personalized or dynamic content into your case documents and correspondence. This article outlines ways you can use placeholder tags to customize your documents and correspondence.

What are Placeholder Tags? 

A placeholder tag is a unique, text-based identifier that corresponds to Case Tracker data, such as party names and case IDs.  

Quick tips 

Here are some things to know before using placeholder tags. 

  • Placeholder tags are available to use in case documents and correspondence. To see a preview of your placeholder tags in use, click Preview at the top right corner of the editor toolbar. 
  • Placeholder tags are case and style sensitive. Check for capitalizations, bolding, italics, or other formatting around or inside your placeholder tags. 

How Placeholder Tags Work 

Your cases contain data fields that store information about the case. Each field corresponds to a unique placeholder tag, which looks like a snippet of text wrapped in special characters: {{EXAMPLE}}.  

When you insert a placeholder tag into your document, it will be replaced with the corresponding data stored in Case Tracker.  

For example, you can use the {{receiver.firstName}} placeholder tag to display each receiver’s first name where the placeholder tag was inserted.

How to Use Placeholder Tags 

Placeholder tags allow you to insert dynamic content into your case documents and correspondence.  

Manually enter placeholder tags into your case documents or correspondence, or choose placeholder tags from the Add Placeholder drop-down menu on the editor toolbar.

To prevent typos and syntax errors, use the Add Placeholder Tag menu to insert a placeholder tag. Place your cursor where you want the placeholder tag to appear, then click Add Placeholder on the editor toolbar. Choose the placeholder tag you need from the drop-down menu.

Manually enter a tag 

When you manually enter a placeholder tag directly, be sure to surround the label with the open bracket ({{) and close bracket (}}) characters. Placeholder tags are case and format sensitive. If there's a typo in the placeholder tag, recipients will see the mistyped text instead of their personalized content.  
 

Insert Lists Using Start and End Tags 

To display lists of information, start and end tags must be inserted before and after the placeholder tags.   


List tags are denoted in the Placeholder Menu with an asterisk (*). The placeholder tags that are displayed below a list tag can only be used with that list tag. One or all of the placeholder tags displayed below a list tag can be added to the list.   


When you select a list tag, the corresponding start and end tags will be inserted into the document. Start tags begin with a hashtag (#) and end tags begin with a forward slash (/).  


To add a field to your list, place your cursor between the start and end tags then insert one or more of the associated placeholder tags displayed below the list tag.  

For example, to insert a list of incident details, first you would enter the Incidents* list tag. Then, place your cursor in between the start and end tags to insert the placeholder tag. Your list would be entered like this:

   - {{incident.time}}  

   - {{incident.date}}

Testing and Troubleshooting 

You should always preview your placeholder tags before saving your case document or sending correspondence.  

To see a live preview of your message, click Preview at the top right corner of the editor toolbar. To return to the editor, click Edit at the top right corner of the editor toolbar.

Here are some things to know and check when testing placeholder tags: 

  • Receiver and sender tags: Placeholder tags connected to receiver and sender fields are contact-specific, meaning they will not populate in the preview.  
  • Check syntax formatting: Make sure your placeholder tag name is surrounded by the bracket characters {{EXAMPLE}}.  
  • Placeholder tags are case sensitive: To be rendered correctly by the system, tags must match exactly what appears in the Add Placeholder menu, or in our Placeholder Tags Cheat Sheet.  
  • Placeholder tags are style sensitive. To be rendered correctly by the system, tags cannot include extra formatting like bolding, italics, or underlining inside or around the placeholder tag.
